Start with a QR code

The simplest way in. Nothing connects, nothing leaves your systems.

  1. Create your organization and your first event in a couple of minutes.
  2. Evolve generates a unique QR code for that event. Print it or show it on a screen.
  3. People scan it with their phone camera, enter their name and email, and they are checked in. No app to download.
  4. Attendance is recorded for you, and each person starts a portable record that is theirs from the first scan.

This is genuinely all it takes to begin. No integration, no export, no access to anything you already use. You can add more later, or never. The choice stays yours.

Send a simple list

Export the people who have served with you, and upload it. We do the rest.

All we need is this

No financial data, no notes, no addresses, no sensitive details. Just enough to recognize who served and what they did. The shorter the list, the easier it is for everyone.
Serving minors? For anyone under eighteen, send a first name and last initial, or an ID you assign, instead of a full name and email. We protect young people's records automatically, and you stay in control of what is shared.

Your data, your control

Evolve reads only what it needs to build a participant's record. Nothing more, and nothing about how your team works changes.

Data Processing Agreement

Plain language. One page. No surprises.

Evolve Data Processing Agreement

1. What we process

Evolve processes participation data such as attendance, event history, hours served, group membership, and participant contact information, shared by your organization through an upload or an authorized connection.

2. Why we process it

To build portable participation records for your people, recognize the skills they are building, and add insights back to your records. We do not use your data for any other purpose.

3. What we never do

We never sell participant data. We never share it with third parties for marketing. We never access financial, pastoral, counseling, or sensitive personal data. We never contact participants without your approval.

4. Data security

All data is encrypted in transit and at rest. Access is limited to authorized Evolve systems. We maintain security practices appropriate for handling personal information.

5. Retention and deletion

Your data is kept while you are working with us. When you disconnect or ask us to remove it, all data from your organization is permanently deleted within 30 days. Participants may also request deletion of their own record at any time.

6. Young people

If your organization serves minors, Evolve protects their records and does not process their personal data without appropriate consent. You are responsible for obtaining consent before sharing data for programs involving minors.

7. Your right to leave

You may disconnect from Evolve at any time, for any reason, from your dashboard. Disconnecting triggers deletion. No notice period is required.

8. Participant rights

Participants may view, export, or delete their record at any time, and remove any organization's data from it. These rights apply regardless of their relationship with your organization.
